Refund, Cancellation & Rescheduling Policy
Effective Date: [10/02/2026]
Kaeproductions: Art & Photography (“Kaeproductions,” “we,” “our,” or “us”) is committed to providing quality photography services, professional customer care, and a positive client experience. This policy explains our requirements for booking retainers, payments, cancellations, rescheduling, and refund requests.
By booking a session or purchasing a service, clients acknowledge that they are responsible for reviewing this policy alongside their photography contract, invoice, and applicable service terms.
1. Booking Retainer (Deposit)
A booking retainer, commonly referred to as a deposit, is required to reserve a photography session and secure the photographer's time and availability.
All booking retainers are nonrefundable, subject to applicable law and any rights that cannot legally be waived. The retainer reserves the appointment date and time and compensates Kaeproductions for committing its availability to the booking.
Payment of the retainer confirms the client's booking under the applicable contract. It does not guarantee a particular photographic outcome or transfer copyright ownership of the photographs.
2. Payment Requirements
Unless otherwise agreed to in writing, the remaining balance must be paid in full no later than one to two days before the scheduled session, as specified in the invoice or photography contract.
Kaeproductions may postpone or decline to begin a session if required payments have not been received by the stated deadline, subject to the terms of the signed agreement and applicable law.
Failure to complete payment does not automatically entitle a client to a refund of the booking retainer.
3. Cancellation Policy — 48-Hour Notice Required
A minimum of 48 hours' written notice is required for all client cancellations and rescheduling requests.
Clients must notify Kaeproductions by the designated business email or another written communication method identified in their booking confirmation. Clients are responsible for allowing sufficient time for their notice to be received before the 48-hour deadline.
-
Cancellations made at least 48 hours before the session: The booking retainer remains nonrefundable. Any additional payments will be reviewed according to the signed agreement, services already performed, expenses incurred, and applicable law.
-
Cancellations made less than 48 hours before the session: The booking retainer remains nonrefundable. Additional amounts may be retained only as permitted by the signed agreement and applicable law.
-
No-shows: Failure to attend without timely notice may result in forfeiture of the booking retainer and other amounts that may lawfully be retained under the signed agreement.
-
Emergency circumstances: Requests involving emergencies or circumstances beyond the client's reasonable control may be reviewed individually, without guaranteeing a refund or exception.
The 48-hour notice requirement helps Kaeproductions manage its schedule and make reasonable efforts to accommodate other clients.
4. Rescheduling Policy
Rescheduling requests must be submitted in writing at least 48 hours before the scheduled session. All changes are subject to availability and written confirmation by Kaeproductions.
The booking retainer may be transferred to an approved replacement date when permitted under the applicable contract. A new date is not confirmed until Kaeproductions approves the change.
Requests made with less than 48 hours' notice, repeated rescheduling, or failure to attend may result in forfeiture of the retainer or additional charges only where permitted by the signed agreement and applicable law.
5. Photographer Cancellation or Inability to Perform
If Kaeproductions must cancel a session and cannot provide a reasonable replacement date or mutually acceptable alternative, the client will be offered an appropriate refund of payments attributable to services not provided, subject to applicable law and the signed agreement.
If both parties agree to reschedule, payments may be applied to the replacement session.
6. Weather, Safety, and Unforeseen Circumstances
Outdoor sessions may be affected by severe weather, unsafe conditions, venue restrictions, or other circumstances outside either party's control.
When conditions make a session unsafe or impractical, Kaeproductions may recommend rescheduling or arranging an agreed alternative. Payments and retainers will be handled according to the signed agreement and applicable law.
7. Completed Sessions and Dissatisfaction
Once a photography session has been completed, refunds are not automatically provided because a client changes their mind or has a subjective preference regarding the artistic style, posing, lighting, or overall appearance of the photographs.
Clients are encouraged to communicate their preferences and concerns before and during the session. If a legitimate issue arises concerning the agreed services or deliverables, Kaeproductions will review the matter and may offer an appropriate correction, additional editing, reshoot, credit, or other remedy when warranted.
Nothing in this section limits rights or remedies that cannot legally be waived.
8. Digital Images, Prints, and Custom Products
Photography services may involve planning, shooting, editing, retouching, gallery preparation, printing, and other work before delivery.
Once digital files have been delivered or made available for download, refunds are generally not provided solely because the client changes their mind, subject to applicable law and the signed agreement.
Custom products, prints, albums, additional edits, and video add-ons may be subject to separate terms. If a product is defective or a service does not conform to the agreed terms, clients should contact Kaeproductions so the issue can be reviewed.
9. Additional Services and Custom Work
Additional retouching, custom video recaps, special setups, prints, albums, and other add-ons may incur additional fees.
Fees for custom work already completed and costs already incurred may be nonrefundable to the extent permitted by the signed agreement and applicable law. Relevant fees and terms will be communicated before additional work is authorized.
10. Refund Requests and Billing Concerns
Refund or billing concerns must be submitted in writing to [info@kaeprodictions.com]. Please include your name, session date, invoice or booking information, and the reason for your request.
Kaeproductions will review requests in good faith and respond within a reasonable timeframe. Approved refunds will generally be returned through the original payment method when practicable, subject to payment-provider procedures.
Nothing in this policy prevents clients from exercising lawful payment-dispute rights or other rights available under applicable law.
11. Applicable Law and Client Rights
This policy describes Kaeproductions' standard booking, payment, cancellation, and refund practices. It should be read together with the applicable photography contract and invoice.
If a provision conflicts with applicable law, the law will govern to the extent of the conflict. Nothing in this policy is intended to waive rights that cannot legally be waived.
